Compliance & Our Role
PsychProof is committed to protecting your privacy and complies with the Australian Privacy Act 1988 and the Australian Privacy Principles.
PsychProof provides the record-keeping infrastructure to help businesses document their WHS duty of care. We act as a secure repository for the entries you create. Customers remain responsible for the content they record and how that information is used within their organisation.
Data Residency
All PsychProof customer data, including encrypted database records and audit chains, is stored and processed within Australia. We use Australian-based data centres to ensure compliance with local data sovereignty preferences and WHS record-keeping requirements.
Information Collection
We collect information that you provide directly to us (such as your name, email, and company details) and information that is automatically collected when you use our services.
Automatically Collected Information
When you access PsychProof, our servers automatically record certain information, including your IP address, browser type, operating system, and details of how you interact with our platform (such as timestamps of record creation). We use cookies and similar technologies to maintain your session and improve service security.
Data Retention & Deletion
Because PsychProof is designed to provide defensible evidence for legal and regulatory purposes, certain records are cryptographically sealed and cannot be altered once created — this is a core integrity feature of the platform. Where a record contains personal information and deletion is requested, PsychProof will assess the request against applicable legal retention obligations and the technical constraints of the immutable audit chain. We will respond to deletion requests within 30 days and advise what can and cannot be actioned, with reasons, in accordance with the Australian Privacy Principles.
Global Privacy Rights (GDPR & CCPA)
While PsychProof is an Australian service, we acknowledge the standards set by the GDPR and CCPA. You have rights to access, correct, or request the deletion of your personal data.
You can request access to the data associated with your account or request corrections to administrative information at any time. To protect the integrity of the evidence chain, core risk records are generally immutable once witnessed by the system. If you require a portable copy of your data, you may export your records through the platform's reporting tools.
Children's Privacy
PsychProof is a professional WHS tool and is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
Google User Data Policy
If you choose to sign in using your Google account, PsychProof accesses specific information to facilitate your authentication and improved user experience. We strictly adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Data We Access
We access only the following Google user data:
- Email Address: Used as your unique identifier and for service-related communication.
- Full Name: Used to personalize your profile and interface.
- Profile Picture: Used to display your avatar within the application.
How We Use This Data
This data is used exclusively to:
- Create and manage your user account.
- Authenticate your identity securely.
- Display your profile information within your dashboard.
Data Sharing & Disclosure
PsychProof does not share your Google user data with any third-party tools (such as AI models) or for advertising purposes. Your Google data is stored within our secure database solely to maintain your account and service your request. It is never sold or used for surveillance.
